Timelines Note: The timelines provided below are estimates for airfreight shipments and may differ based on your location. We advise booking early to prevent express charges, delays, or any complications. 10-25 25-30 March March Origin Export Preparations Departure from Origin Confirm your selected artworks, appoint an export shipping agent, prepare the required export documentation, and arrange for packing or crating as needed. Based on your location and the airline connections available, your local shipper should book a flight that departs no later than 1 to 3 days before the arrival deadline. 01 14 April April Arrival Deadline Dubai Airport Delivery to your Booth All shipments must arrive at DXB or DWC airport no later than 1st of April. Late arrival surcharges of 50% apply for arrivals past this date. HAAS will deliver your shipment directly to your booth at Art Dubai. Upon request, we provide unpacking and installation services based on the schedules outlined below. The commercial invoice must clearly state the total value of goods (CIF). Each artwork's country of origin must be specified on the invoice. Ensure that your invoice includes the necessary information, is printed on your letterhead, and is properly signed and stamped. Guidelines Sales of Exhibits in the UAE 5% Duty For artworks sold in the UAE, a 5% duty applies to the declared CIF landing value or the sales value (whichever is greater). We will handle the import clearance formalities and collect the duty based on actual customs receipts from the buyer or seller before releasing the artwork. 5% VAT Additionally, VAT of 5% applies to the sales value plus the relevant duty paid. For UAE companies acting as importers of record, VAT will be charged directly to the company’s tax account. We will provide you with an Excel calculator to help determine the correct duties and taxes for your sales. Removal of Artwork during the Fair Buyers wanting to take purchased items from the venue must first get permission from the fair organizer and complete release forms on-site. These forms require stamping and signing and must be submitted to security and an Art Dubai team member at the venue exit. Additionally, the customs import formailities (if any) must be completed, and all import dues must be settled before removing of the item from the fairground. Artwork Exported to Any Other Country No duties apply in the UAE for re-exported items. Destination county duties/taxes will depend on the local regulations. Insurance Cover Exhibitors are advised to insure their exhibits for transport to Dubai and for the exhibition duration. Unless confirmed in writing, shipments are not covered by HAAS’ insurance and are under general forwarders' liability per our terms, provided with the quotation. Insurance can be arranged upon a written order if HAAS or its agents pack, ship, and report the items' condition. Please contact us for an insurance quote. If arranging your own insurance, ensure full coverage for all activities we may undertake and inform your insurer of our conditions. Page 7 of 16
To minimize loss or damage during overseas shipping, we encourage you to use custommade, sturdy, and re-lockable packing solutions like wooden crates or flight cases. We offer comprehensive door-to-door services, including packing and crating. Please avoid cardboard packaging for fragile items and consider climate protection due to Dubai's humidity. All wooden packing should meet ISPM standards. Marks & Labels Inbound Every package should be clearly labeled with permanent markings or labels. It is crucial to have a clear numbering and marking system for each package and its contents to facilitate identification during transit, storage, handling, and customs procedures. Below is the recommended format, which should be attached in two places on each crate: Art Dubai 2025 Exhibitor Name / Booth #: Crate #: xx of xx Dimensions (cm): L x H x W The specifications of the packages must match those detailed in the accompanying documents (Packing List / Invoice). Outbound We will issue move-out/re-export labels during the fair. These labels will contain specific post-sale instructions (e.g., sold, re-export, storage) and should be affixed to each item/package for clear identification and effective post-sale process management. We will not accept any responsibility for artwork left at the booth without written instructions and proper labeling. Empty Crates Storage for empty crates will be arranged through us for the fair's duration. We collect your empties from the booth to store and manage them in our external facilities. We will have them returned to your booth as the fair closes. Page 8 of 16
Our on-site storage space is conveniently located close to Gallery Hall 1 and can be accessed by the authorized person for re-stocking each day two hours before opening and two hours after closing of the fair. Exhibitors can bring in artwork from outside the venue each day of the fair, but only before the fair opens to visitors and with prior approval. We also offer off-site storage at our Fine Art facilities in Dubai. Please reach out to us for any special arrangements. Viewing Rooms Viewing rooms and private storage rooms are available prior, during and after the fair in our state-of-the- art storage facilities in the conveniently located Dubai Airport Freezone area.
